Icon is looking for a Management Systems Coordinator to take ownership of our corporate systems and document management across the group. This is a critical role that sits at the centre of how we manage, maintain and improve our systems, processes and documentation.
This role has been reshaped to bring everything under one owner. You will step in, take control, clean things up and build a more structured, consistent and user friendly system across the business.
The Role of Management Systems Coordinator
This is a head office based role focused on managing our Integrated Management System, document control systems and corporate elements within our intranet.
Working as part of the group quality team, you will also work closely with wider key stakeholders across HSEQ, Business Systems and operations to ensure our systems are accurate, aligned and being used effectively.
This is a highly autonomous role where you will be trusted to take ownership, identify gaps and drive improvements.
Key Responsibilities
- Own and manage the corporate document management systems within our intranet across the group
- Lead the clean up, restructure and improvement of existing systems and documentation
- Manage controlled documents including procedures, plans, forms and checklists
- Ensure consistency, quality and usability of all corporate documentation
- Support system updates, improvements and ongoing optimisation
- Assist with audits and ensure systems meet compliance and certification requirements
- Work closely with stakeholders to embed systems and drive engagement
- Provide guidance and training to ensure correct system use across the business
- Identify pain points and implement practical, process-driven improvements
- Support integration across systems including CDMS, IMS, Hammertech and Visibuild
- Experience in systems, document control, HSEQ or a similar environment
- Strong understanding of document management and system processes
- Technically capable and confident working across multiple systems
- Strong written communication skills with the ability to produce clear, structured documentation
- Process-driven with a focus on continuous improvement
- Confident engaging with stakeholders and able to hold your own
- Self starter who can work autonomously and take ownership
